AI & Automated Assistance Disclosure

Where automated assistance may be used and what customers should expect.

1. Purpose

This disclosure explains where Diversified Check Studio uses automated assistance, what happens to the information you submit to those features, and what you remain responsible for.

2. Where Automated Assistance Is Used

Check Capture

You may upload an image of an existing check or a bank document so the software can detect fields such as routing number, account number, check number, bank name, bank address, and the account holder block. This uses a vision model to read the image and return structured values.

Guided setup and validation helpers

Rule-based helpers validate routing number checksums, flag MICR spacing and clear-band issues, evaluate production readiness, and suggest layout corrections. These are deterministic checks, not model output.

Search and content ranking

Knowledge Center search uses scoring logic to rank results. No customer data is used to train any ranking model.

3. What Is Sent and What Is Returned

When you use Check Capture, the image you upload and the instruction needed to extract fields are transmitted to the model provider that performs the extraction. The provider returns the detected values to us, and we present them to you for review inside the wizard.

Values are written to your bank account or design records only after you review and accept them.

4. Provider Handling and Training

Automated assistance is delivered through a model provider acting as a service provider to us. Content submitted through these features is used to produce your result. It is not used by us to train models, and we do not authorize the provider to train models on customer content.

5. Accuracy Limits

Automated extraction is an aid, not an authority. Model output can be incomplete or incorrect, particularly with low-resolution images, unusual fonts, glare, handwriting, damaged documents, or nonstandard MICR layouts.

You are responsible for reviewing every extracted value before it is used. In particular:

  • Routing and account numbers must be confirmed against documentation from your financial institution.
  • The MICR line must be verified against a live sample provided by or approved by your bank.
  • A test print must be validated before any design is used for production.

Automated assistance does not verify account ownership, signing authority, available funds, or bank acceptance.

6. No Professional Advice

Automated output, Knowledge Center content, and readiness indicators are informational. They are not legal, accounting, tax, banking, or compliance advice, and they are not a determination that a check will be accepted.

7. Human Review and Decisions

We do not use automated decision-making that produces legal or similarly significant effects about individuals. Licensing, eligibility verification, and enforcement decisions involve human review.

8. Your Choices

Check Capture is optional. Every field it can populate can be entered manually, and the manual path is fully supported throughout the software. If you prefer not to submit an image, use manual entry.

9. Data Retention for These Features

Uploaded capture images are retained only as needed to complete the workflow and to support troubleshooting, and are handled under the Data Retention and Deletion Policy. Extracted values you accept are stored with your account records and are protected as described in the Security Overview.

10. Changes to This Disclosure

This disclosure is updated when features or providers change. The Last Revised date and version number will be updated when it changes.
