1. Purpose
This notice describes the responsibilities that apply when you design and print checks with Diversified Check Studio. Please read it before producing checks.
2. What the Software Is
Diversified Check Studio is document production software. It renders a check design and produces printable output.
It does not open bank accounts, verify account ownership, verify signing authority, confirm available funds, transmit payment instructions, originate ACH entries, clear or settle items, or communicate with any financial institution.
Printing a check is not a payment. Payment occurs only when the instrument is presented and honored by the paying institution.
3. Authority to Draw
You may only produce a check drawn on an account you own or are lawfully authorized to draw on, in an amount and for a purpose you are authorized to approve.
Producing an instrument without that authority may constitute forgery, counterfeiting, or fraud under federal and state law and is prohibited by the Acceptable Use Policy.
4. Accuracy of Bank Information
Routing numbers, account numbers, and on-us content must be verified with your financial institution. A checksum-valid routing number is not a confirmation that the number is correct for your account. See the Routing Directory Information Notice and the MICR and Bank Information Handling Policy.
5. Industry Standards
Check design in the United States is governed by industry specifications, including ANSI X9 standards for check size, MICR placement, and the E-13B character set, together with Federal Reserve and clearing house practice and the Uniform Commercial Code.
The software is built to help you produce output consistent with common practice. It does not certify compliance with any standard, and standards may change.
6. Financial Institution Requirements
Your institution may impose additional requirements, including advance approval of customer-printed checks, mandatory magnetic ink, specific stock, positive pay file submission, or restrictions on self-printed items.
Those requirements take precedence over anything in the software. Confirm them with your institution before producing checks.
7. Required Content
A check should clearly present the drawer name and address, the date, the payee, the amount in figures and in words, the signature area, the check number, the bank name, and the MICR line. Missing, illegible, or inconsistent content can cause rejection or delayed processing.
Where the figures and the written amount disagree, the written amount generally controls under the Uniform Commercial Code. Confirm both before signing.
8. Signatures
Applying a stored signature image is your decision and your responsibility. Only apply a signature you are authorized to apply, restrict who may use stored signatures, and consider requiring manual signature for checks above a threshold you set.
Some institutions and some risk policies do not accept facsimile signatures. Confirm before relying on one.
9. Fraud Prevention
Customer-printed checks carry fraud risk. Consider using security stock, enrolling in positive pay or payee positive pay with your bank, reconciling frequently, limiting who can print, securing blank stock and printed output, and destroying misprints securely.
10. Recordkeeping
Maintain records of checks produced, including number, date, payee, and amount. The software records print history for this purpose. You remain responsible for your own accounting and reconciliation, which the software does not perform.
11. Personal Checks
Personal check formats, including wallet, desk-set, top-stub, side-stub, and custom layouts, are subject to the same authority, accuracy, and readability requirements as business checks.
12. No Professional Advice
This notice and the Knowledge Center are informational. They are not legal, accounting, tax, banking, or compliance advice. Consult your own advisors and your financial institution.
13. No Guarantee of Acceptance
We do not guarantee that a check produced with the software will be read, accepted, processed, or honored. Acceptance is determined by the financial institutions involved.
14. Changes to This Notice
This notice may be revised. The Last Revised date and version number will be updated when it changes.
